
Supply Chain Management Executive
Role Summary
As a Supply Chain Management Executive, you will be responsible for managing the operational procurement process after suppliers have been identified. You will oversee requisitions, purchase order creation, delivery coordination, receiving and inspection, invoice validation, payment processing, cost tracking, and recordkeeping. Your role ensures procurement activities are carried out efficiently, on time, and in full compliance with company procedures.
In this role you will:
- Identifying the Need – Work with internal teams to define goods/services required (specs, quantity, quality, delivery timeline).
- Requisition – Review and process purchase requisitions (PRs) for approval.
- Purchase Order Creation – Generate and approve purchase orders (POs) and issue to suppliers.
- Order Acknowledgment – Ensure supplier confirmation of PO acceptance, price, and delivery schedule (through P&C).
- Delivery & Logistics – Coordinate delivery schedules and track shipment progress with logistics teams.
- Receiving & Inspection – Verify received goods/services against specifications; ensure Goods Receipt Note is created.
- Invoice & Payment – Process supplier invoices, conduct 3-way matching (PO, GRN, invoice), and liaise with Finance for payment.
- Recordkeeping & Closing – Maintain accurate records of all procurement documents (POs, invoices, contracts).
- Cost Tracking – Track order-related costs, monitor price fluctuations, and support budgeting.
- Replenishment & Monitoring – Monitor supplier performance with P&C, track stock levels, and trigger reorders when required.
- Shipping Carrier Selection – Support selection of courier or freight forwarder (local/international) based on cost and lead time.
- Shipping Documentation – Prepare delivery order, invoice, airway bill, or export documentation as required.
- Tax Application – Apply and verify correct tax charges (e.g., SST, VAT/GST) and ensure compliance with reporting.
To be shortlisted for this position, you will need to have:
- Bachelor’s degree in Supply Chain Management, Logistics, Business, or relevant field.
- 2–3 years of experience in procurement, purchasing, or supply chain execution.
- Strong organisational and analytical skills with attention to detail.
- Proficiency in written and verbal English and Bahasa Malaysia (Mandarin is an advantage).
- Strong working knowledge of procurement systems and Microsoft Excel/Google Sheets.
- Ability to multitask and meet strict deadlines.
- Own mode of transport.
